1. The short version
For any refund, the school is to be contacted directly at the office. Come to the fest office at The Elden Heights School, Hazaribagh, Jharkhand 825301, India, in person during school office hours on any working day. Bring your pass code or payment reference and something that shows the booking is yours. A staff member checks it against the record, and what is due is returned.
Refunds are not arranged over social media, and not through the payment gateway's support chat. Those routes cannot see our records and will only cost you time.
2. Who settles it
MADOOZA is hosted by The Elden Heights School, Hazaribagh, Jharkhand 825301, India, and is organised and operated by FLYKRAFT SYNERGIES PRIVATE LIMITED (Event Organizer). In the text below, "we", "us" and "the organisers" mean the school and the Event Organizer together. "You" means anyone who uses this site, buys a pass, enters the cosplay contest, pre-orders merch or comes to the fest.
Refunds are approved by the fest office at the school and paid out by the Event Organizer through Razorpay, back to the account the payment came from.
3. Fete Passes
- A Fete Pass is ₹699 and is non-refundable once the pass code has been issued, because a pass is a held place at a one-day event.
- Up to 7 days before the fest, the office may still cancel a pass and refund it in full if there is a genuine reason — illness, a clash with an exam, a family emergency. Ask at the office; it is a judgement made by a person, not a rule you have to argue with.
- Within 7 days of the fest, a pass cannot be refunded, but it can be transferred to someone else. The office records the new name against the pass code.
- An unused pass, or not turning up, is not refundable.
- A pass cancelled for misconduct or for a pass used by someone it was not issued to is not refundable.
4. Cosplay entry fees
The ₹299 entry fee is non-refundable — it pays for the slot, the judging and the prize pool, which are booked whether or not you walk. It is transferable to another entrant until entries close, and the office makes that change for you.
If a category is dropped, or the contest does not run at all, the fee is refunded in full.
5. MADOOZA coins
Unspent coins are exchanged back to cash at the coin counters near the gate until 5:00 PM on the day of the fest. That is a counter transaction on the day, not an office one — after 5:00 PM coins are no longer refundable. Coins already spent at a stall are settled with that stall before you leave it.
6. Merch pre-orders
- Merch is paid for online, so a refund is an office matter like any other: bring the collection code and the payment reference.
- Before the fest, a merch order can be cancelled and refunded in full at any time up to 7 days before the day, while the print run can still absorb it.
- Faulty or wrong on the day — take it back to the merch tent there and then; it is exchanged, or refunded at the office if nothing suits.
- Sizes are swapped at the counter for free while stock lasts. If your size cannot be supplied at all, you take another item of the same value or the office refunds it in full.
- Uncollected merch is held at the office for 30 days and is not refundable after that — it goes back on sale.
7. If the fest is cancelled or moved
- Cancelled outright — every pass and every cosplay entry fee is refunded in full. You do not have to ask; the office begins processing refunds within 7 working days of the announcement, and you will be told where to come if anything is needed from you.
- Moved to another date — your pass and your entry stay valid for the new date, no action needed. If the new date does not suit you, ask at the office within 14 days of the announcement and it is refunded in full.
- Cut short on the day, once it has begun — passes are not refunded, because the fest ran. If a whole ticketed show is cancelled before it starts, that show's ticket is refunded.
8. Money left your account but no pass arrived
- A payment that failed at the gateway is reversed by your bank on its own, usually within 5 to 7 working days. Nothing reaches us and nothing needs to be claimed.
- A payment that was taken but produced no pass code, or a payment made twice, is settled at the office. Bring the payment reference from your bank or UPI app, and the extra amount is returned in full.
- Do not pay a second time to "fix" a payment that seems stuck. Check the office first.
9. How an approved refund is paid
Refunds go back through Razorpay to the card, account or UPI ID the payment came from — we cannot pay an online payment out in cash, and we cannot send it to a different account. Once the office approves it, expect it in 7 to 10 working days, depending on your bank. The office gives you a reference when the refund is raised; keep it.
A refund is of the whole amount you were charged — the GST and the 2% convenience fee included. We do not keep the fee on a refunded order and we deduct nothing for handling it.
10. What cannot be refunded
- Coins spent at a stall, and unspent coins presented after 5:00 PM on the day.
- A pass for a fest that ran, whether or not you came.
- Entry refused or revoked for misconduct, a prohibited item, or a pass that was not yours.
- A cosplay entry fee once entries have closed, other than the transfer route above.
- Anything bought from a student stall in cash or coins after you have left that stall.
A lost pass code is not a refund matter — the office re-issues it against your name and ID, free.
